This page describes what ZNEX stores and how long caption text stays in the product. The clinic decides to use ZNEX and is responsible for the client information it sends, for consent and notices, for reviewing every draft, and for the final record.
What the clinic sends
ZNEX collects account and practitioner details, client information the clinic enters, appointments, billing details, caption text the therapist sends, case-note drafts, the final note, and technical logs needed to run the service.
Caption text
Caption text is created on the therapist’s computer. ZNEX receives it only when the therapist sends it, and stores it so a draft can be generated. ZNEX does not store an audio or video file of the session.
Drafts
Drafts are produced by the configured AI provider from the caption text the therapist sends. The clinician reviews, edits, and approves the note before relying on it.
How long text stays
ZNEX keeps caption text, drafts, and the final note until the clinic removes them. After a final note is saved, Download & destroy clears the session transcript, draft, and final note in ZNEX. There is no automatic deletion period.
Other services
Google Workspace, Meet, Calendar, payment, email, and SMS providers process the data required for those features under their own terms. The ZNEX application is hosted on Google Cloud in Canada (northamerica-northeast2). Other providers may process data outside Canada.
