The notes used to come home with her

After work, my mom often spent another 90 minutes writing and organizing case notes. That was supposed to be her time to rest. Documentation followed her into the kitchen.

The obvious shortcut was to record the session and write the note from the recording. She would not do that. Therapy is personal. A client’s voice or video was not an acceptable price for less paperwork.

That limit is where ZNEX started, in 2025. Draft the note from caption text the therapist already has. Do not keep an audio or video file. Leave the final note in the clinician’s hands. Names of the team stay off this page. The problem is the public part: the hour after the hour.

A Tuesday

One day, when the paperwork does not win

This is a normal Tuesday for one therapist. Nothing heroic. The point is that the day stays calm, and the evening still belongs to her.

  1. 8:10

    A booking is already waiting

A client requested a time overnight on the public booking page. It is on the calendar before the kettle boils. No separate inbox to empty first.

  2. 8:25

    The day is one calendar

The appointment is connected to Google Calendar, and the online session already has a Meet link. In-person visits sit on the same schedule. The therapist is not copying times between tools.

  3. 8:40

    The client is already there

The record has the contact details and the notes from last time. She knows who is walking in. The file is not a stack of tabs.

  4. 10:00

    The session stays the session

They meet on Google Meet. Captions stay on her computer. ZNEX does not store an audio or video file of the hour. When she wants a draft, she sends the caption text. Not before.

  5. 10:55

The note does not follow her home

ZNEX drafts a SOAP, DAP, BIRP, or narrative progress note in English. She edits it, approves it, and downloads the PDF. If she wants the transcript gone from ZNEX, she removes it. The evening is still hers.

  6. 4:00

    Money, once

Client invoices, the receipt email, the month’s financial report, and the practice plan — ZNEX and the Google Workspace seats — are in one billing place. She sends the receipt and closes the laptop. Google still bills the Workspace license itself. She is not reconciling five apps to see the day.

She leaves on time. The note is done. The receipt is sent. That is the change ZNEX is for: a reliable day, not another evening of catching up.
